Clandestine use of generative AI in the workplace can erode interpersonal trust. Uphold the values of the Haverford College community by disclosing the use of generative AI in your professional work.
When to Disclose
Disclosure is needed when materials originally generated by AI appear in your work without substantial edits. For example:
- You generate a department-wide email that—after reading over—you decide is high-quality. You use the text mostly verbatim.
- You use AI to generate a course description based on past syllabi. After making a few changes to punctuation and sentence order, you insert it into the course catalog.
- You feed your meeting notes into AI to synthesize a list of next steps. After correcting the spelling of a colleague's name, you paste the output directly into a Google Drive folder to share with the participants.
- You use AI to build a budget-tracker spreadsheet. You export it from Google Docs to Microsoft Excel and modify some of the formulas to make sure it still works.
How to Disclose
Disclosing the use of AI does not need to be onerous. Simply include a statement in your work that includes the 1) service or tool used, and 2) a short description of how you have used it. Here are disclosures for each example listed above:
- Department-wide email: This email was created using Google Gemini 3.5 Flash. Its output was produced based on an overview of the audience, plus a list of upcoming department events.
- Course description: This description used Claude Sonnet 5 to create an accurate representation of course content, based on several years of past syllabi.
- Meeting notes: Via email: Hi all, I used Zoom’s AI companion to generate this list of next steps based on our conversation this morning.
- Budget tracker: In a cell at the bottom: Adapted from a Google Sheet generated by Gemini 3.1 Pro. I have updated the formulas to work in Excel.

Other organizations—including but not limited to federal agencies and journals where you might publish work—have their own policies about AI use and disclosure. Please check their websites to confirm their specific guidelines before you submit work.
