To preserve privacy and security, you may not input confidential information into any AI tool. Before uploading data to a generative AI tool, carefully review the Haverford College Data Classification document. Confidential data includes but is not limited to:

• Any data protected under GLBA, FERPA, HIPAA, and other state and federal statutes.
• Personally identifiable information (PII) as defined in the Classification document.
• Financial data, including records, planning documents, banking information, etc.
• Protected health information (PHI).
• Account credentials.
• Images of government-issued IDs.
• Passport or other official government-issued ID numbers, including driver’s license numbers or other state ID card number issued in lieu of driver’s license.
• Haverford College ID number.
• Employment records.
• Emergency and disaster recovery plans.
• Comparative or other data restricted by policy, contract terms, grant terms, or Memoranda of Understanding

Removing Confidential Information

To remove confidential information or data:

1. Make a working copy: Do not edit the original document.
2. Do at least two slow, deliberate read-throughs: Your first pass should concentrate on explicitly stated confidential information; your second pass should concentrate on indirect language that may reveal confidential information.
3. For each piece of confidential information you find, take one of the these steps:
   • Remove / Delete: This is the simplest option and eliminates the risk.
   • Redact: Replace confidential values with a placeholder like [STUDENT NAME] or [SSN REMOVED].
4. On your second read-through: Ask yourself whether a combination of remaining data points could be used to reconstruct deleted information. If yes, remediate those data points as well.
5. Check document metadata: Microsoft Office and Google Workspace files, as well as PDFs, store author names, revision histories, and comments in their file properties. Remove confidential information from these sources as well.

   • Google Workspace does not support a specific method for removing document metadata. Download your document as a Microsoft Office file or PDF, and remove metadata as instructed above.
